PPL Corporation Utilizes Kofax Technology

PPL Corporation processes more than one million customer bill payments monthly and 150,000 vendor invoices annually. The company wanted to implement a “digital mailroom” for efficiency and better short-term cash forecasting. PPL selected Kofax because of its ability to integrate with PPL’s workflow, the simplicity of its interface and its reputation as a low-maintenance solution.

PPL Services, a division of PPL Corporation, is responsible forprocessing more than 1 million customer bill payments eachmonth as well as more than 150,000 vendor invoices annually.Like many other U.S. companies, PPL has traditionallyprocessed receipts and disbursements in two distinctbusiness environments: accounts receivable and accountspayable. Given the high-volume nature of its bill paymentprocessing, the company utilizes sophisticated equipmentwith digital capture technology to automate the processing ofcustomer payments. What PPL wanted to do, however, wasutilize the same equipment and work group to electronicallyconvert paper-based vendor invoices into electronic imagesand data streams, which could then be forwarded to thecompany’s various front offices for processing. (While PPL hasmade great progress in promoting electronic invoicing, itrecognizes that paper invoice volumes will continue to besignificant for the foreseeable future).This “digital mailroom” concept would not only yieldoperating efficiencies, it would also enable the company tosignificantly improve its short-term cash forecastingcapabilities by capturing all of its upcoming vendor paymentobligations before being forwarded electronically to thecompany’s various front-office environments.PPL’s initial attempt at implementing a scanning and invoiceprocessing system required templates to be built for everyvendor and invoice format used by the vendors, before thedata could be recognized. Creation of these invoice templateswas very time-consuming and labor intensive. In addition,PPL needed to process several disparate types of invoices,including purchase orders, contracts and special approvals.Each of the invoices would typically arrive in different shapes and sizes, which required PPL staff to employ uniqueprocessing methodologies in order to process the invoices.Over time, the system became very inefficient and ineffective.

In early 2007, Kofax Certified Solution Provider BizTech wasawarded the contract to implement a Kofax enterprise capturesolution, the foundation for Kofax’s strategy to helporganizations streamline business processes, for PPLServices. As part of the implementation, BizTech created anOPEX Import Utility (OIU) to establish workflow from PPL’sOPEX scan stations to the Kofax solution, and to capture andprocess hundreds of invoices daily. The solution included:Kofax Capture, the world’s leading automated informationcapture platform, andKofax Transformation™, which streamline the transformationof business documents into structured electronic informationby automating the processes of document classification anddata extraction.Based on PPL’s need for precise classification and extraction,BizTech implemented both Kofax Capture and KofaxTransformation, which enhanced the power of the Kofaxsolution. With its full suite of classification and extractiontechnologies, Kofax Transformation enables PPL’s cashprocessing department to process paper invoices andautomatically identify any incorrect or missing data, whichprovides staff with more time to focus on issues requiringtheir immediate attention. With its user-friendly interface, thissolution automates document processing functions previouslyhandled manually while also increasing the accuracy ofinformation.

In the months following the implementation of the Kofaxenterprise capture solution, it has quickly demonstrated itsvalue. Now, when a new invoice is received by PPL’s cashprocessing department, OPEX 3690i scanners scan thedocument and the BizTech OIU moves each document to theKofax solution where data is extracted, regardless of anyunique fonts used in each invoice. The data is then transferredinto a server for processing through Kofax Transformation.More than 150,000 paper invoices are now processed by PPLannually.“We are very pleased with the Kofax solution and the BizTechimplementation,” said Denise Baker, project manager at PPLCorporation. “We reviewed many different options and chosethe Kofax solution because of its ability to integrate with ourworkflow, the simplicity of its interface, and reputation forbeing a low maintenance solution.
