+   How many versions are there of VRS 4.2 Professional?

There are five versions available to match the speed and interface of your scanner:

+   How do I determine which version is right for me?

Visit Kofax's online scanner configurator. Alternatively, consult Kofax's VRS Recommended Upgrade Guide. Please note that occasionally Kofax categorizes scanners differently than do their manufacturers (i.e., what a manufacturer calls a Workgroup scanner we may classify as a Desktop model, what a manufacturer calls a Production scanner we may classify as a Workgroup scanner).

+   What are the main differences among the five versions?

The Production and Workgroup versions of VRS Professional include all the functionality of the Desktop version, plus add AIPE (Adrenaline Image Processing Engine) and EBC (Enhanced Bar Code) at scan time capabilities. The SCSI versions of VRS Professional Production and VRS Professional Workgroup are sold bundled with an Adrenaline 650i SCSI controller.

+   What is the key new feature of VRS 4.2 Professional?

It's an entirely new approach to how workers can interact with their scanners that we call Desktop Productivity. Instead of launching a separate application each time there's a need to scan a document, Desktop Productivity allows workers to operate their scanners and adjust image quality without having to shift from the programs where they spend most of their business day.

+   Which programs can I be working in when I want to utilize the Desktop Productivity feature?

Desktop Productivity works with many leading email programs, such as Outlook 2007 / XP / 2003 and Lotus 6.x.

+   Anywhere else?

Workers also can invoke the Desktop Productivity feature when using Windows Explorer or when working on the desktop.

+   How does Desktop Productivity work?

When used with an email program, Desktop Productivity adds scanning options to the menu bar or drop down menus atop the screen. Say, for example, your job entails sending scanned images of purchase orders to multiple vendors. Currently, if you're in the midst of composing an email message to accompany the P.O., you'd have to leave the email program and switch to a scanning application. You might have to adjust the scan several times before generating a legible image. Then you'd have to name and save this image, return to your email program, select the attach command, navigate to where you stored the image, attach it, then resume composing your message.

But with VRS 4.2 Professional's Desktop Productivity feature, you never have to leave your email program. Instead, simply select one of two menu options now available from atop your email program's screen: Fast Scan or Scan with Preview. Fast Scan scans, corrects, names and saves a digital image of a document based on defaults you previously selected. Scan with Preview shows the scanned image in a viewer, and allows you to adjust its appearance and name before saving. With Desktop Productivity, you now can scan documents as quickly and as easily as you can print them.

While working on the desktop, you can invoke Desktop Productivity's options simply by right clicking your mouse. Likewise, while working in Windows Explorer, select a folder, right click, and you can deliver perfectly scanned documents to this location.

+   What else is new in VRS 4.2 Professional?

Both the Advanced Clarity and Auto Rotation features found in VRS 4.1 Professional have been improved significantly.

+   What's Advanced Clarity?

Advanced Clarity is the image enhancement feature you use when nothing else seems to work. With it, there's no reason to fear working with items previously thought to be unscannable. Difficult source materials such as blueprints, documents printed on security paper (checks, birth certificates, car titles, etc.), documents with dense, textured background – even crumpled documents rescued from the trash – can be turned into crisp, highly legible scanned images that in many cases are easier to read than the original paper document.

You'll find the VRS 4.2 Professional version of Advanced Clarity improved so that it is even faster and more accurate than before.

+   What's Auto Rotation?

Depending on how you use it, Auto Rotation can be a great way to save on manual labor, or a method to increase the throughput of your scanner – or both. With Auto Rotation, you no longer have to page through a stack of documents by hand before scanning, turning pages so they're all oriented in the same direction. Instead, simply place the documents in the feeder tray, hit scan, and let Auto Rotation do the work. It doesn't matter if the documents are upside down, sideways, or any angle in between – Auto Rotation will analyze and rotate the scanned document images on the fly to the identical orientation.

Auto Rotation also can help high volume scanning operations boost the number of pages they can process daily. Rather than scan documents in traditional portrait mode, which requires 11 inches of paper (for U.S. letter-sized documents) to pass through the scanner's transport mechanism, they instead scan everything in landscape mode. Only 8.5 inches of paper needs to pass through the scanner before Auto Rotation turns the document image back to portrait mode. By doing so, these operations have replaced a portion of a mechanical-speed process with a digitalspeed procedure. While this may not seem like much of a difference if you're scanning only a handful of documents a day, for operations that scan thousands – even millions – of documents daily, the productivity gains are enormous. VRS 4.2 Professional includes an enhanced Auto-Rotation feature, making it faster and more accurate than ever before.

+   Desktop Productivity and the enhancements to Advanced Clarity and Auto Rotation sound extremely useful. Does that mean they're also extremely expensive?

Not at all. In fact, if you currently use VRS 4.0 Plus or VRS 4.1 Professional, they're available as free upgrades.

+   What if I currently use VRS 3.5?

In that case you will have to pay, but you don't need to buy the full version of VRS 4.2 Professional. Just order part number UP-0001-0004, which will upgrade your software to the VRS 4.2 Professional version (Desktop, Workgroup, Production) appropriate for your scanner.

+   I don't own an earlier version of VRS. Will buying the full version of VRS 4.2 Professional be prohibitively expensive?

Not if you compare it to the cost of hiring people to do the work of VRS. Some large volume customers claim that VRS Professional's productivity enhancements pay for themselves after a single day's use.

+   How do I buy VRS 4.2 Professional?

A number of distributors, resellers, and online retailers sell VRS 4.2 Professional. If you cannot locate one, please contact Kofax's inside sales department for a reference.

+   Can't I just buy VRS 4.2 Professional directly from Kofax?

You can if you live in North, Central or South America. Customers in these locations can buy the full version of VRS 4.2 Professional, or upgrades from other versions of VRS. Visit www.kofaxshop.com for details. Products are sold as downloads only; retail boxed versions are not available on this site.

+   But didn't you say earlier that upgrades to VRS 4.2 are free?

They are if you are upgrading to the same version of VRS. For example, if you own VRS 4.1 Desktop version, and want to move to VRS 4.2 Desktop, the upgrade is free. However, if you own VRS 4.1 Desktop version and want to move to VRS 4.2 Workgroup version, you will have to pay for an upgrade.

+   Do I have to uninstall VRS 4.0 or 4.1 before I can install 4.2?

No. You can install 4.2 on top of an existing 4.0 or 4.1 installation.

+   What are my upgrade options if I own VRS Basic or VRS Standard?

You can upgrade to VRS 4.2 Basic, but you will see no difference in your primary features and capabilities. However, you will be able to try VRS 4.2 Professional features such as Desktop Productivity, Advanced Clarity and Auto Rotation in demo mode.

+   Does it make any difference if I own the retail boxed version of VRS Basic, or the OEM version that came bundled with my scanner?

No. The upgrade path and options for both are the same.

+   A copy of VRS 4.2 Professional came bundled with my scanner. Does it differ in any way from the retail boxed version of VRS 4.2 Professional?

The only notable difference is that bundled versions typically work only with that scanner manufacturer's scanners. The retail boxed version, or the version downloaded from www.kofaxshop.com, will work with any VRS certified scanner. If you obtained VRS as part of a scanner bundle, you should return to the scanner manufacturer's website to download any VRS updates or patches. If you purchased directly from Kofax, you can download VRS updates and patches from the Kofax website.

+   I see the VRS 4.2 Professional update is posted on the Kofax website. But when I visited my scanner manufacturer's website, the latest update they had available was for VRS 4.1. Why can't I get the VRS 4.2 download at my scanner manufacturer's website?

Eventually, you will be able to do so. But you need to have a bit of patience. Kofax always releases the retail version of VRS first, then goes to work on the scanner manufacturer-specific versions it prepares for its bundling partners. Typically, the scanner manufacturer-specific versions of VRS are available within three months of the retail version.

+   What's the difference between a VRS-certified scanner and one that isn't?

To be certified, manufacturers must submit their scanners to Kofax for a six to eight week testing and calibration process. During this period, Kofax confirms compatibility and determines ideal default VRS settings. Only scanners that pass this process can be advertised as VRS-compatible.

+   Can I use VRS with a scanner that isn't certified?

Possibly. But if you run into problems, Kofax tech support will not be able to assist you.

+   How much does tech support cost?

It's free for registered customers who are using a VRS-certified scanner.

+   When can I call for tech support?

You can speak to a tech support representative Monday through Friday from 6 a.m. to 5 p.m. Pacific Standard Time (PST).

+   Are there any other options to contact tech support?

Yes, you can submit a discription of the problem you are experiencing by using Kofax's Web Incident Management System (WIMS). You should receive a response from tech support within one business day.

+   Is there any way to investigate if someone has already reported to tech support the same problem I'm having?

Yes, by visiting the Knowledgebase found in the Support section of the Kofax website. There you can search by the version of VRS you use, your scanner's manufacturer and model, and/or keywords. You'll see a list of previously reported issues similar or identical to yours, as well as the suggested resolutions provided by Kofax's tech support. It also may be helpful to visit Kofax's VRS Forum, also found in the Support section of the website. There you'll find numerous questions submitted by current VRS customers, as well as responses supplied by Kofax employees, resellers and power users.

+   Are there any known problems or compatibility issues with VRS 4.2 Professional?

It's always a good idea to read the release notes before installing VRS 4.2. Visit the Online Documentation section of the Kofax website for the latest version of the release notes.

+   Will do. But is there anything big I should know about?

VRS 4.2 currently does not work with Kodak i600 scanners that use the version 8.x TWAIN driver (there's a workaround). And VRS 4.2's Desktop Productivity features do not work when used with Windows 2000, or with InoTec scanners. And Kofax Capture (formerly Ascent Capture) 8.0 customers who activate VRS 4.2 on the same license do not have access to Desktop Productivity features (but if they install a separate VRS 4.2 license on top of Kofax Capture 8.0, they do). +   Are there any changes in VRS 4.2 Professional that I can't see?

Yes, VRS 4.2 is now TWAIN 1.9 compliant. This extends the number of TWAIN applications that are compatible with VRS, and allows the use of features such as endorsing, bar code recognition and compression that previously were available only through ISIS-based applications.

+   Is that the last of VRS 4.2's new features?

There is one more of note: We've extended the list of file and compression formats VRS can work with to include PNG, GIF, DCX, LZW and TIFF Technical Note 2.

+   Which operating systems support VRS 4.2 Professional?

  • Windows Vista (32-bit & 64-bit, Enterprise and Business editions)
  • Windows XP Professional, SP2
  • Windows 2000 Professional, SP4 (however, VRS 4.2 Professional Desktop Productivity features are not supported)

+   Is VRS Basic still available?

Yes, but no major changes have been made to it.

+   What's the difference between VRS Basic and VRS Professional?

VRS Basic does not include Desktop Productivity features, Auto Rotation or Advanced Clarity. It also lacks the automatic color detection and blank page deletion features found in VRS 4.2 Professional.

+   If I have VRS Basic, do I have to buy the full version of VRS Professional?

No. There are separate part numbers available to purchase an upgrade from VRS Basic to the Desktop, Workgroup and Production version of VRS 4.2 Professional. These are sold at a significant discount off the full version price.

+   What's the easiest way to upgrade from VRS Basic to VRS Professional?

Go to your Windows Start menu, navigate to the Kofax VRS folder, and click on Upgrade Now. This will take you to the online Kofax Shop, where you can buy the appropriate upgrade to the VRS 4.2 Professional version you need.

+   What if I need a SCSI card? Can I buy an Adrenaline SCSI controller card at the Kofax Shop?

No. Only software downloads are available from this site. No physical product is shipped for purchases made through the Kofax Shop online.

+   The Kofax box I purchased has a label affixed to it that reads: "VRS 4.x Professional." How do I know I am buying the VRS 4.2 Professional version, and not 4.1 or 4.0?

Actually, it doesn't matter which version is on the enclosed CD. Simply install what's on the CD and activate its license. If you find you have installed version 4.0 or 4.1, visit the Kofax website and download the free 4.2 upgrade. Complete VRS 4.2 Professional documentation is available on the Kofax website as well.

+   How do I activate my VRS 4.2 installation?

Activation typically occurs during the installation process when VRS is installed on a computer with an Internet connection. VRS must communicate briefly with the Kofax licensing server to activate all of its features. If VRS is installed but not activated, it will run in demo mode, stamping the Kofax logo on each scanned image.

+   How do I activate VRS if the computer on which it is installed does not have an Internet connection?

You will need to contact Kofax in order to receive the necessary license code. If you have another computer with an Internet connection, you may do so via email or by visiting http://activate.kofax.com/vrs. If you don't, you can fax your request to Kofax. No matter how you contact Kofax, you will need to provide the contents of a text file generated during the installation process. Information on where to find this text file, and how to submit it, is provided on screen during installation, and also can be found in the VRS Installation Guide.

+   Is VRS 4.2 available only in English?

No. Localized versions of VRS 4.2 are available in German, French, Italian, Spanish, Japanese, Korean, traditional Chinese and simplified Chinese. We also plan to release localized versions in Hungarian, Polish, Czech and Brazilian Portuguese. Check the download section of the Kofax support website for these language packs, which will be posted as soon as they're available.

+   Do I have to place a special order to receive a localized version of VRS 4.2?

No. All localized language versions are included on the VRS 4.2 CD, or with the files you download from www.Kofaxshop.com. During installation, VRS detects the language used by the operating system on the PC where it is installed, and loads the appropriate localized version. If for any reason you are missing localized documentation, you can download what you need from the Online Documentation section of the www.kofax.com website.
