Kofax Capture General Questions

1. What new features are found in Kofax Capture 8.0?

The following new features are found in Kofax Capture 8.0.

Several new features add enhancements to Kofax Capture to improve the setup of the application. Click here to obtain additional details regarding these new features.

The administrator can now assign more than one workflow agent at a time to a batch class, as well as order their execution. This feature provides additional flexibility for customizing your Kofax Capture installation.

The Visual Basic .NET language is supported for creating custom scripts. VB .NET provides an alternative to the Softbridge Basic Language (SBL) for writing your validation and recognition scripts.

You can restrict access to specific batches in attended Kofax Capture modules (Batch Manager, Scan, Quality Control, Validation, and Verification) to certain users or groups. Using a custom workflow agent, you can grant access rights to users and groups to process specified batches. All others users will be denied access to these batches.

With Disaster Recovery, you can add alternate central sites to an enterprise configuration, specify batch upload behavior, back up and restore batches and batch classes, export and import administrative data, and more. This feature allows for business continuity when equipment fails or disaster strikes.

SNMP Monitoring provides a mechanism for remote, real-time monitoring of an installation using Simple Network Management Protocol (SNMP). In addition, it delivers a simple application that demonstrates monitoring Kofax Capture activity via SNMP.

Additional authentication methods provide improved security for a Kofax Capture Network Server (KCN Server) installation.

The PDF/A export format was added to the Kofax PDF Image + Text and Kofax PDF Image Only recognition profiles. The PDF Archive PDF/A option is a file format based on PDF that supports the long-term preservation of digital documents.

The enhanced Kofax Capture text release script allows a Kofax Capture administrator more options for file naming, specifying how duplicate filenames are handled, and creating folders where image files are released. The database release script in Kofax Capture now implements database inserts using SQL pass-through statements, making it much faster than previous versions, especially when using an Oracle database.

A new online Help search engine supports searching every knowledge hub, or restricting your search to a specific knowledge hub, thus giving you much more control over your search. With new capabilities you can also restrict the search to those topics containing all the words for which you are searching, any of the words, or an exact phrase.

You can specify a database option at installation. Additionally, the Standard database configuration which is automatically installed was upgraded to Microsoft SQL Server 2005 Express Edition. Two new database options are also available: Oracle and IBM DB2. With these database options, you can store all data, including the setup, batch catalog, user profile, user tracking data, and batch data. After installation, the Database Utility allows you to switch between the databases supported by Kofax Capture.

This new feature allows you to easily unreject selected batches with a single click.

You can export and import administrative data such as batch classes, KCN Server profiles, and user profiles. This allows you to save periodic snapshots of administrative data to either duplicate settings when restoring or switching primary sites or transfer settings from a development site to a production site. When you export administrative data from one system and import it to another, you can also automatically re-map configuration settings such as image paths, custom data, and release script setup, reducing time and costs.

You can release images and data at remote sites. This provides added flexibility when archiving images and data to back-end document management systems.

Kofax Capture supports Microsoft’s new Vista operating system and introduced changes to be more compliant with Microsoft’s security recommendations.

2. What types of new Administrative Setup shortcuts exist in Kofas Capture 8.0?

Several new Administrative Setup shortcuts add enhancements to Kofax Capture to improve the setup of the application. These new features are described below.

The Administrator can create new field types directly from the Batch Class Properties dialog box, Document Properties dialog box, and Folder Class Properties dialog box.

You can copy and paste existing objects, such as Batch Classes, Document Classes, Folder Classes, Form Types, Index Zones, and Group Index Zones. The copy method is useful for adding an object that is similar to an existing one. After making the copy, you can modify the copied object as necessary to make it unique.

You can view a list of scanners that can be configured to work with Kofax Capture and set one as the default. If the selected scanner is a VRS scanner, the appropriate sources are automatically created and configured. Also, the default VRS settings are set and saved to the default profile for the selected scanner. You can also make saved profiles available to all stations at a shared location on the network.

The Rubber Band OCR feature allows you to manually draw zones on an image and automatically populate index fields with the data recognized within those zones. You configure Rubber Band OCR in the Administration module, and use it in the Validation and Verification modules.

With this feature, you can lock docked toolbars and panels in place, as well as restore docked panels to their default location.

With this enhancement you can disable certain functionality from operators who process batches in different Kofax Capture modules. An OCX developer can write an OCX that blocks specific menu items, top level menu bar items, and toolbar buttons.

The Administrator can define a batch name format and assign it to a batch class. Then, when a new batch is created, the batch name is generated based on the defined batch name format.

4. What type of License Management does Kofax Capture 8.0 support?

Kofax Capture 8.0 supports a centralized license management scheme that requires a hardware key on the Kofax Capture server at the central site, and on standalone installations. Client workstations do not require hardware keys to run Kofax Capture.

Note: With the software-based licensing option, the hardware key is not required. Instead, activation occurs with your Kofax serial number and product code.

The rest of the installation and activation process remains the same as licensing with a hardware key.

The key features of the license management scheme are:

  • Licenses can be delivered and upgraded through the Internet.
  • Licenses must be activated before you can use Kofax Capture permanently.

Activation typically occurs during installation of a Kofax Capture server or standalone station, but can also occur after installation.

  • During installation: After the Kofax Capture server or standalone files are installed, the installation may prompt you to attach a hardware key to the server or standalone station. Near the end of the installation process, the installation will contact the Kofax license server to activate the licenses for the options you purchased.
  • Refer to the Kofax Capture online Help for details about activating licenses.

Note: During Kofax Capture installation on a server or standalone station, you need to have Internet access if you want to automatically activate your license at that time. If the station does not have Internet access, you will be able to install Kofax Capture, but will need to use the Kofax Capture License Utility to activate your licenses after installation.

  • After Installation: If activation during installation fails, you will be able to use your purchased Kofax Capture options for a period of three days. To use the purchased options on a permanent basis, you must use the Kofax Capture License Utility installed with Kofax Capture to activate your licenses after installation.

After activation, the Kofax Capture License Utility allows you to view the status of activated licenses, as well as activate new or additional licenses for your system. Refer to the Kofax Capture online Help for details about using the License Utility.

6. What version of VirtualReScan (VRS) is included in Kofax Capture 8.0?

VirtualReScan (VRS) 4.2 is integrated into the Kofax Capture 8 installation process. However, additional licensing is required to activate VRS for use with Kofax Capture. Refer to the Kofax Capture online Help for information about licensing VRS.

The following VRS documentation is available as part of your Kofax Capture installation:

The documentation for VRS can be found for all VRS supported languages on the second Kofax Capture CD in the \VRS\Documents folder.

Note: Kofax Capture 8.0 has not been tested, or certified, with VRS 4.1 or earlier. Using these versions of VRS with Kofax Capture 8.0 is not supported.

7. Do I need anything special to use the Enhanced Bar Code Engine?

Yes, additional licensing is required to use the Enhanced Bar Code Engine with Kofax Capture. Refer to the Kofax Capture online Help for information about the licensing requirements for the Enhanced Bar Code Engine.

Note that, depending upon the setup parameters, Kofax Capture usually performs bar code recognition within the Scan module. However, in the following cases, it is necessary to defer bar code recognition to the Recognition Server module. If you plan to use the Enhanced Bar Code Engine in these cases, the computer running the Recognition Server module must have the appropriate license.

  • If there are automatic index zones of any kind in the document class, all bar codes, including page-level bar codes, will be processed by the Recognition Server module.
  • If there is more than one type of bar code per document class (including all page-level or zonal bar codes), all bar codes will be processed by the Recognition Server module.
  • If there are any Recognition scripts, all bar codes will be processed by the Recognition Server module.
  • If there is more than one form type all bar codes will be processed by the Recognition Server module.

Note: When only one form type is used in the batch class and only one bar code recognition profile is used for page-level zones and separator zones, then page-level bar codes are recognized in the Scan module, rather than the Recognition Server module.

8. What does the Multiple Instance Support feature do?

The Multiple Instance Support feature allows you to run multiple instances of any Kofax Capture service on a single computer.

Using Release Scripts with Multiple Instance Support

If you want to use the Multiple Instance Support feature with the release scripts certified with Kofax Capture 8, you will need to modify the release script’s .inf file. Refer to Table 1 for the list of certified release scripts.

The location of the .inf file is in your Kofax Capture installation folder (for example, C:\Program Files\Kofax\Capture\Cap). The following table references each certified release script’s .inf file.

  1. Locate the .inf file in your release script installation directory. Make a copy of the file for backup purposes, and store the copy in a safe location.
  2. Right-click the .inf file and a context menu will display.
  3. From the context menu, select “Open With.” Use any text editor to edit this file.
  4. Add the following to the .inf file:
    SupportsMultipleInstances=True

    Note that you can add this line anywhere within the custom module’s parameter section.
  5. When you are finished editing this file, save the file.
  6. You will need to re-register your release script with Kofax Capture.

    a. Start the Kofax Capture Administration module. The module’s main screen will display.

    b. Select Tools | Release Script Manager and the Release Script Manager dialog box will display.

    c. From the Release Script Manager dialog box, click Add.

    d. Browse to the modified release script .inf file. Select the file and click Open.

    e. The Add Release Scripts dialog box will display.

    f. From the Add Release Scripts dialog box, select the release script and click Install.

    g. Click OK and your release script is registered.

    h. Close the open dialog boxes to complete the process.

9. Have any changes been made to the Kofax Capture Engines?

Yes, the following changes have been made to the following Kofax Capture engines and, as a result, they may
produce different recognition results.

  • High Performance Zonal
  • Advanced OCR Zonal
  • Advanced OCR Full Text
  • PDF Image Only
  • PDF Image + Text
  • Recognition profiles using OCR Zonal are automatically converted to use the High Performance Zonal
  • Recognition profiles using OCR Full Text are automatically converted to use the Advanced OCR Full Text

The following subsections contain additional information about Kofax Capture engines.

Auto Rotate Feature Is Not Available in Recognition Profiles Based on the OCR Zonal Engine

The OCR Zonal recognition engine was removed from Kofax Capture 8.0. After upgrading from a previous version of Ascent Capture to Kofax Capture 8.0, all recognition profiles based on the OCR Zonal engine are converted to use the High Performance Zonal engine. The OCR Zonal engine had a setting called Auto Rotate which has no corresponding setting in the High Performance Zonal engine. This may cause unexpected results in any type of OCR zone that used the OCR Zonal engine in a previous version of Kofax Capture. (SPR 00033083)

As an alternative, create a recognition profile based on the Advanced OCR Zonal engine, which supports the Auto Rotate feature.

OCR for Text on a Dark Background May Work Differently in Kofax Capture 8

The OCR Zonal recognition engine was removed from Kofax Capture 8.0. After upgrading from a previous version of Ascent Capture to Kofax Capture 8.0, all recognition profiles based on the OCR Zonal engine are converted to use the High Performance Zonal engine instead. For this reason, successful OCR for text on a dark background may require the background to be significantly darker than the text within it. This change affects the “Light text on dark background” option on the “Engine and Other” tab on the Advanced High Performance Zonal Settings dialog box. (SPR 00033110)

Unable to Run Recognition Server on Windows Vista When SecurityBoost Is Enabled with High Performance Zonal

When enabling SecurityBoost on Windows Vista and running Recognition Server where the High Performance zonal engine is used for OCR recognition, the Recognition Server fails with a message “Unable to load engine.” (SPR 00034786) On Windows Vista, if SecurityBoost is enabled and the High Performance Zonal engine is used, do not run the Recognition Server.

Ready to Download Status If the central site is upgraded to the latest version of Kofax Capture while batches are listed with a status of “In Progress (<site name> – Ready to download)” in the Batch Manager module, the batches will remain in this state until one of the following occurs:

  • The remote site is upgraded to the latest version of Kofax Capture.
  • The central site recalls the batches to process.

10. Can I upgrade my Ascent Capture 6.x or 7.x batch classes to be compatible with Kofax Capture 8?

Yes. Ascent Capture 6.x or 7.x batch classes are automatically converted during the Kofax Capture 8 upgrade or import.

11. When upgrading to Kofax Capture 8, is it possible to still have batches in progress?

Yes. Batches can still be in progress during the Kofax Capture 8.0 upgrade installation. It is strongly suggested that prior to upgrading, whether batches are in the system or not, that the existing Ascent Capture installation be backed up. This is a recommended precaution in case something unexpected occurs during the upgrade process.

No. All Kofax Capture 8 orders will be fulfilled with USB dongles only.

13. Can batches from remote Ascent Capture 6.x or 7.x sites be uploaded to Kofax Capture Network (KCN) Server 8 and subsequently be processed by a central Kofax Capture 8 system??

Batches from remote Ascent Capture 6.x or 7.x installations can upload to a Kofax Capture Network (KCN) Server 8 and be processed at a central Kofax Capture 8 system. However, no new or modified batch classes can be downloaded from a central Kofax Capture 8 site to a remote Ascent Capture 6.x or 7.x site. If batch routing is configured to route a batch to an old (Ascent Capture 6.x or 7.x) remote site, the batch will remain at the central Kofax Capture 8 site.

1. I just upgraded to Kofax Capture 8.0 and I can't get the ACFaxService to start. What should I do?

This is a known issue in Kofax Capture 8.0. "ACFaxService will not start after upgrading to Kofax Capture 8.0. (SPR 00033691)"

To correct this, when upgrading to Kofax Capture 8.0, add the following code segment after the <configuration> tag of the ACFaxService.exe.config file, which can be found in the <Kofax Capture installation folder>\ACFax folder.

2. I was trying to install Kofax Capture 8.0 on a Windows Vista system and it failed. How can I fix this problem?

Kofax Capture installs the VirtualReScan (VRS) 4.2 software and this is a known issue in VRS 4.2. "In Windows Vista, when attempting to install VRS 4.2, the installation may fail. (SPR 00035252)"

This issue can be resolved by following these steps

  1. Deactivate User Access Control (UAC) in Windows Vista.
  2. Install VRS 4.2.
  3. Activate UAC in Windows Vista

3. I am receiving an “Object variable or With block variable not set” error message in my INDICIUS 5.5 Document Review Module since I upgraded to Kofax Capture 8.0. How can I fix this problem?

This is a known issue. When launching the INDICIUS 5.5 Document Review module after upgrading to Kofax Capture 8.0, the following error appears and the application terminates. (SPR 00033735)

After upgrading to Kofax Capture 8.0, add the following code segment after the <configuration> tag of the ka.Document Review.exe.config file, which can be found in the <Kofax Capture installation folder>\Bin folder.

4. I upgraded Kofax Capture 8.0 and now my Ascent Advanced Forms is encountering problems. What should I do?

Upgrading to Kofax Capture 8.0 Moves DOKuStar Files to Wrong Folder

DOKuStar stores batch class information files in the \\{Ascent_Server}\AscentSV\AdminDB folder. Upgrading to Kofax Capture 8.0 moves these files to the \\{Capture_Server}\AscentSV\AscentX\AdminDB folder, causing processing errors. To prevent errors, you must manually copy these files to the correct folder. (SPR 00033749)

Note On an upgrade, {Ascent_Server} and {Capture_Server} are the same. The X in AscentX is replaced by the previous version such as “Ascent7.5”.

Workaround

Copy all DOKuStar folders from:

\\{Capture_Server}\AscentSV\AscentX\AdminDB

back to:

\\{Capture_Server}\AscentSV\AdminDB

The DOKuStar folders depend on what is installed. The following table lists the possible folder names and their corresponding modules.

5. When I try to open the XML Import Connector on my Windows Vista system, I receive the "Log file cannot be opened (C:\Acxmlail.txt)" error. How can I correct this problem?

This is a known issue. "To support Windows Vista, XML Import Connector must locate its log file somewhere other than the root folder. (SPR 00033412)"

Workaround: To specify another location for the log file, use one of the following options:

Update the XML Import Connector Shortcut

  1. Right-click on the XML Import Connector icon and select Properties.
  2. Select the Shortcut tab.
  3. Modify the “Target:” field to specify a different log file folder location.

Example:

“C:\Program Files\Kofax\CaptureSS\ServLib\Bin\ACXMLAI.exe” -l:”C:\acxmlaid\MyLog.txt” -GUI

Run Acxmlai from the Command Prompt

From a Command Prompt window, run Acxmlai and specify another log file folder such as C:\Acxmlaid.

Example:

C:\Program Files\Kofax\CaptureSS\ServLib\Bin\ACXMLAI -l:C:\acxmlaid\Mylog.txt

You can specify an absolute, relative, or UNC path. File names and paths that contain spaces must be enclosed in quotation marks.

6. I am receiving an "Error 48 - Error In Loading D11" message when I try to scan in Kofax Capture 8.0. What is wrong?

This is a known issue. "If you are attempting to scan with an Adrenaline controller on Windows Vista, you may receive the following error message: (SPR 00035288)"

Workaround: Install VRS 4.2 after installing or upgrading to Kofax Capture 8. Download VRS 4.2 from http://www.kofax.com.

7. How can I configure my Windows Vista Administrator so it can be sed as a SecurityBoost user?

The default configuration of the Windows Vista built-in Administrator user prevents it from being used as the SecurityBoost user. (SPR 00034523)

To work around this issue, you must enable the following Windows Vista security policies:

  • • Accounts: Administrator account status
  • • User Account Control: Admin Approval Mode for the Built-in Administrator accoun

If the “Accounts: Administrator account status” policy is disabled, the Database Utility displays the following error when it attempts to apply the SecurityBoost configuration:

Error -2147220504: An error occurred while attempting to set the SecurityBoost configuration.
AcBst: The user ID or password provided is incorrect. Make sure your User name and domain are correct, then type your password again. Letters in passwords must be typed using the correct case.

If the “User Account Control: Admin Approval Mode for the Built-in Administrator account” policy is disabled, one of the following errors display when launching a Capture module:

(0) Automation error
Either a required impersonation level is not provided, or the provided impersonation level is invalid.

Requested registry access is not allowed.

8. I noticed a warning about uninstalling Kofax Capture 8.0 in the Release Notes document. What are the recommended steps to uninstall Kofax Capture 8.0?

The warning, on page 1, of the Kofax Capture 8.0 Release Notes document, stated:

Warning When Uninstalling Kofax Capture
If you use the Add or Remove Programs utility from the Windows Control Panel to uninstall Kofax Capture, you will lose your batch classes, active batches, and other settings without warning. When upgrading to Kofax Capture 8, do not uninstall earlier releases if you want to keep these items.

Please follow the guidelines below to prepare for and uninstall the Kofax Capture 8.0 product.

1. Export All Batch Classes.

2. If there are Batches in the system:

a. Process all in the Batches in the system through to Release.

b. Back up the Temporary Image Folder if processing the Batches in the system is not possible.

Note: This procedure will only back up the image files. All Batch information to this point will be lost.

3. Open Control Panel.

4. Open Add/Remove Programs.

5. Uninstall Kofax Capture.

9. I have Kofax Capture 8.0 installed and am having a problem with my Adreanline scanner controller after I installed it on my Windows XP (or 2000) system. How can I fix this problem?

This is a known issue with an Adrenaline installation on Windows 2000 or Windows XP after a Kofax Capture 8.0 install. “When installing the Adrenaline Scanner Controller on Windows XP or Windows 2000 following a Kofax Capture installation, the following two files are missing when Windows installs the driver for the Adrenaline Controller: (SPR 00035368)”

    • Kf650w2k.sys: This file can be found in %WINDIR%\System32\Drivers.
    • KofaxIO.sys: This file cannot be found on the system; instead, find it on <CD1>\Kofax Capture\Install\ImgCtls\Drivers\9x_Me_2k.

To resolve this issue, on Windows 2000, do the following:

    1. Install Kofax Capture on Windows 2000.
    2. Turn off the workstation and insert the Adrenaline controller.
    3. Restart the workstation. The Digital Signature dialog box will display.
    4. Click Yes to continue. The Files Needed dialog box will display, indicating that “the file Kf650w2k.sys on Kofax Driver is needed.”
    5. Browse to the following path: WinNT\System32\Drivers.
    6. Select Kf650w2k.sys and then click Retry. The installation will continue.
    7. When the following message displays: “Setup cannot copy the file KofaxIO.sys”, browse to Kofax Capture 8 CD1>\Kofax Capture\Install\ImgCtls\Drivers\9x_Me_2k and click Retry. The installation will continue and then finish.

To work around this issue, install VRS 4.2 after installing or upgrading to Kofax Capture 8. Download VRS 4.2 from http://www.kofax.com. (SPR 00035288)

To resolve this issue, on Windows XP, do the following:

    1. Make sure your workstation is powered off and unplugged. Wait ten seconds, and then remove its shell (chassis cover).
    2. Insert the scanner controller in an available PCI slot. Refer to the documentation that came with your Adrenaline scanner controller for more information about inserting the scanner controller into your workstation.
    3. Once the scanner controller is inserted, secure the workstation’s shell into place and plug in the workstation.
    4. Restart the workstation. Windows will automatically detect your scanner controller, and open the “Found New Hardware Wizard.”
    5. Select “Install the driver automatically (Recommended)” and click Next.
    6. The system may display a message informing you that the adapter driver has not passed Windows Logo Testing. If so, click Continue Anyway and follow the instructions on your screen.
    7. The system may display a message about a missing file, Kf650w2k.sys. If so, browse to “Windows\System32\Drivers” and select Kf650w2k.sys and click Retry. The installation will continue.
    8. The system may also display a message about a missing file, KofaxIO.sys. If so, browse to Kofax Capture 8 CD1>\Kofax Capture\Install\ImgCtls\Drivers\9x_Me_2k and click Retry. The installation will continue.
    9. When the completion screen appears, click Finish.

The Kofax Capture / Ascent Capture Technical Support group is comprised of three subgroups (discussed on the Support Options Web page), whose members are knowledgeable in all aspects of the Kofax Capture / Ascent Capture product and Kofax / Ascent modules, including installation, configuration, operation and development. Each group receives ongoing product training from our Engineering department relating to the general Kofax Capture / Ascent Capture product and their specific area of expertise. These groups have in depth knowledge of networking, databases, hardware, and programming which they use when assisting all supported Kofax Capture / Ascent Capture customers.

The Kofax Capture / Ascent Capture Installation, Configuration, Operation, and Web product's Technical Support group can assist with installation and configuration of the base Kofax Capture / Ascent Capture products as well as troubleshooting problems that occur in production.  They have lots of experience with installation problems, batch class setup, patch code and bar code problems, hardware key issues, OCR engines, MSDE etc. They provide support for the Ascent Xtrata and Ascent Fax products. They also can assist with the Kofax Capture / Ascent Capture Web products such as the Kofax Capture Network Server / Ascent Capture Internet Server.  They can assist with installation or connectivity problems across LANs, WANs or the Internet.
