Ascent Xtrata Pro 3.0 SP1 Questions and Answers

1. What issues does Ascent Xtrata Pro 3.0 Service Pack 1 resolve?

The information below describes the issues you can resolve by installing Ascent Xtrata Pro 3.0 Service Pack 1.

  • Finereader - (SPR27660)
    When both the “Remove Noise” and “Handprint” options were enabled, empty text and XDoc files may have been created. A new Finreader version is included in Ascent Xtrata Pro 3.0 Service Pack 1 which handles text and XDoc files correctly when these options are set.
  • ProjectBuilder –Automatic Rotation During OCR (SPR00027790)
    If you changed the automatic rotation option on the General tab of the Project settings dialog box, the new settings where ignored until the project was reloaded. This meant that images were not correctly rotated, even if you redid the OCR for a folder. Now the settings are used correctly if you redo OCR.
  • ProjectBuilder – Extraction Design (SPR00025066)
    In the Extraction Design working mode, the selection behavior in the field and locator lists has changed. Now, if you right-click an item in the list that is not currently selected, then the corresponding row is selected and highlighted, and a context menu for the selected item is displayed. Before, if an item was selected, but you hovered over and right–clicked another item in the list, then a context menu was displayed, but it referred to the selected item and not to the item you hovered over.
  • ProjectBuilder – Table Locator (SPR00027575)
    The Table Locator Properties dialog box Settings tab has changed. To avoid confusion, the caption for the selection of a format locator for amounts in the Automatic table extraction panel has changed from “Select amount locator” to ”Select format locator.”
  • ProjectBuilder – Rotation of Fax images having different X and Y resolution (SPR00028158)
    Fax images having different resolutions in the x and y directions where not displayed properly after a 90° rotation. Now, the rotated image can be viewed at the screen.
  • Project Builder – Invoice Group and Order Group Locator (SPR00028679)
    A new check box, “Use compound words optimization”, is provided for the Invoice Group and Order Group Locator properties dialog box. To improve the recognition on German invoices, it is recommended that you deselect this check box, whereas for US invoices you should keep the check box selected.
  • Knowledge Base Administration – Training Set (SPR00027181)
    In the New Samples mode, adding a document to a training set after resorting on a column (such as Filename), will now properly set the “trained flag” for this document.
  • Server - Table Recognition (SPR00028411, SPR00028416, SPR00028412)
    Improved table recognition for invoices is provided.
  • Server and Validation – Extraction Data Loss after switching between daylight saving time and standard time (SPR00028162)
    Opening a document in Validation that was saved before a switch between DST and standard time, caused the document to be considered as modified, and therefore all values for the document were discarded. Now, a document saved before such a time switch will no longer be considered to have been modified because of the time switch.
  • Validation – Displaying Folder Panel (SPR00025625)
    The Folder Fields panel obscured the bottom part of the Batch panel when folder fields are used. This has been fixed so that the Batch panel has scroll bars and is no longer obscured.
  • Validation – Batch Editing (SPR00026514)
    In batch editing mode you may now rotate a page in a document any number times without loosing the form type information.
  • Validation – Automatic Batch Opening (SPR00027545)
    If you deactivate the “Open next batch automatically” option in the Batch Settings tab of the Settings dialog box, then automatic polling will not occur, even if “Poll for next batch” is selected.
  • Validation – Table Indexing Improvements
    • Multiple row selection (SPR00028319)
      You can now select multiple rows in a table and apply “Delete” to all selected items.
    • Automatic Table Row Interpolation (SPR00028414)
      The automatic row interpolation now applies to the selected row. It is only available if exactly one row is selected. If a table was not extracted correctly, you can complete a table by interpolating the rows from a selected row. Typically, if there are optional columns in the table, you select a row where the optional cell is present. Click ”Interpolate rows” to replenish the table with all rows that have exactly the same layout as the selected row (the optional cell is present). Click “Interpolate rows” again to add additional rows for which, for example, the optional cells are missing.
    • Toolbar and automatic scrolling (SPR00028417, SPR00028309, SPR00028415, SPR00028314
      When you scrolled large tables, the table toolbar may have vanished. Now, the toolbar is always visible and an additional scrollbar has been added.
    • The automatic scrolling behavior has been improved significantly, and working with large tables
      in Validation is easier now.
  • Validation –Document Splitting
    If you split a document and there is only a single classification type, then this classification type is automatically assigned to the new document.

    You may now change the Ascent Xtrata Pro Release Script options for a published batch class without any problems.

Uninstallation

When you are uninstalling Ascent Xtrata Pro, Ascent Capture can not remove the Ascent Xtrata Pro release script (Xtrata Pro Statistics). You have to remove it manually using the Ascent Capture Administration module. For details see your Ascent Capture documentation. (SPR00025657)

As with any Service Pack, we recommend that you install and test Ascent Xtrata Pro 3.0 Service Pack 1 in a development environment first before applying it to your production environment.

Important Note About the Installation

In order to install Ascent Xtrata Pro 3.0 Service Pack 1, you must have full Windows administrator privileges.

Ascent Capture must be installed prior to installing Ascent Xtrata Pro 3.0 Service Pack 1.

Close All Applications

Before installing Ascent Xtrata Pro 3.0 Service Pack 1, you must close all applications. This means that all of the Ascent Capture modules on every workstation must be closed, including the Ascent Capture Internet services, and any third-party applications. Note the following:

If the remote sites have any Ascent Capture services running, you must stop these services before installing Ascent Xtrata Pro 3.0 Service Pack 1. Note that the services must remain stopped until Ascent Xtrata Pro 3.0 Service Pack 1 is installed.

We recommend that you stop all Ascent Capture modules running as a service, including the Ascent Capture Licensing Service (Ascent Capture Service), Recognition Server, and Ascent Capture Email Import Service (ACEI Service). The services must remain stopped until Ascent Xtrata Pro 3.0 Service Pack 1 is installed.

To install Ascent Xtrata Pro 3.0 Service Pack 1:

  1. Download Ascent Xtrata Pro 3.0 Service Pack 1 from the Kofax Web site. The file that downloads is a full install that contains Ascent Xtrata Pro 3.0 Service Pack 1.
  2. Run the setup.exe file to install Ascent Xtrata Pro 3.0 Service Pack 1.
  3. Follow the instructions on your screen. When the installation is complete, a message will display that indicates Ascent Xtrata Pro 3.0 Service Pack 1 was successfully installed

If the CJK support for FineReader is used in Ascent Xtrata Pro 3.0 then you have to update it, because a new version of FineReader 8 is included to the Ascent Xtrata Pro 3.0 Service Pack 1. For updating the CJK uninstall Ascent Xtrata Pro CJK Support from the System Control Panel, then install the new version of the Ascent Xtrata pro CJK Support (Version 8.0.1.482).

To Uninstall Ascent Xtrata Pro CJK Support

  1. To start the uninstallation select Start | Control Panel | Add or Remove Programs.
  2. Select Ascent Xtrata Pro CJK support from the list of available programs.

2. What Operating Systems are supported by Ascent Xtrata Pro 3.0?

3. What language localizations are available for Ascent Xtrata Pro 3.0?

The basic Ascent Xtrata Pro 3.0 product is localized for English and German, but additional localizations can be added by developing language packs that install over the top. Currently language packs are being developed for French, Italian, Spanish, Catalan, Portuguese (Brazilian), Chinese (simplified) and Japanese. Currently these localizations are being made available uncertified but the intention is to certify them in the future. Additional language packs will be developed in the future but the list is yet to be determined.


4. How does Ascent Xtrata Pro 3.0 integrate with Ascent Capture?

Ascent Xtrata Pro 3.0 integrates with Ascent Capture as a suite of custom modules and set up components. The Ascent Xtrata Pro custom modules can be added to any Ascent Capture batch class. The Ascent Xtrata Pro Server and Validation modules typically replace the Ascent Capture Recognition Server and Validation modules in the workflow.

A Synchronization Tool is integrated into the Ascent Capture Administration module that allows you to synchronize Ascent Xtrata Pro projects with Ascent Capture classes and index fields. This is installed as a custom panel in Ascent Administrator.


5. What technology does Ascent Xtrata Pro 3.0 utilize?

Ascent Xtrata Pro 3.0 features revolutionary learn-by-example technology for both document classification and data extraction. The data is extracted using ‘locators’ that use rules defining the expected format of the required data and the keywords that may be present around it. For extraction the learning process results in the creation of a configuration file called a Knowledge Base that encapsulates the variations in document format and phraseology.

For version 3.0 the learn-by-example extraction technology is only available for invoices.

The Ascent Xtrata Pro installation program automatically registers the custom components with Ascent Capture, as long it detects a certified version of Ascent Capture on the system.


6. What does each Ascent Xtrata Pro 3.0 module do?

Ascent Xtrata Pro 3.0 is comprised of a suite of custom modules that seamlessly integrate into Ascent Capture. These are as follows:

Ascent Xtrata Pro 3.0
Server

Processes batches in the Ascent Capture workflow, performing document classification and data extraction. The Server uses the stored project and executes the definitions therein during runtime for the selected batch class.

Server is a custom module that you add to your batch classes to perform automatic classification and extraction of scanned documents.

User – none (unattended module).

Validation

Provides enhanced validation functionality. It allows for validating and manually correcting documents that contain invalid classification and/or extraction results.

Validation is a custom module that you can add to your batch classes for reviewing extraction results and where necessary making amendments to them.

User – Data validation operators

Project Builder

Lets you set up, store and test Ascent Xtrata Pro projects that contain all information for processing documents.

Project Builder is a standalone program used to configure classification and data extraction.

User – Solution developers.

Knowledge Base Administrator

Lets you create, test and extend Knowledge Bases by training on new sample invoices.

Knowledge Base administrator is a standalone program.

7. Does the Ascent Capture product have to be installed before Ascent Xtrata Pro is installed?

The Ascent Xtrata Pro installation installs and registers custom Ascent Capture components only if a certified version of Ascent Capture is detected on the computer. Therefore, to use the custom Ascent Capture components, you must install a certified version of Ascent Capture before you install Ascent Xtrata Pro.

Installing Ascent Xtrata Pro involves the following basic steps, which you should perform in the following order.

  • Step 1 Install Ascent Capture 7.0 SP3, 7.5 or 7.5 SP3.
  • Step 2 Install Ascent Xtrata Pro.
  • Step 3 Activate the Ascent Xtrata Pro license.
  • Step 4 Configure Ascent Xtrata Pro Server Services.

8. What kind of license is installed with Ascent Xtrata Pro 3.0?

Ascent Xtrata Pro is initially installed with a demo license for Project Builder that is valid for three days. During this time, the Project Builder can be used without any restrictions. After the demo license expires, Project Builder will only present the Activate License dialog box.

License activation is a process that establishes a link between the Project Builder and the Ascent Capture hardware key, which must be present at the time of activation. License activation requires administrator rights on the computer where it is performed.

When activating the license, you must provide a user name and company name.

9. What custom Ascent Capture components/modules are installed by Ascent Xtrata Pro 3.0?

The Ascent Xtrata Pro installation program installs and registers several components/modules:

  • Ascent Xtrata Pro Project Builder is a standalone program to set up and test classification and extraction projects, as well as invoice projects.
  • Ascent Xtrata Pro Server is a custom module that you can add to your batch classes to perform classification and extraction.
  • Ascent Xtrata Pro Synchronization tool is a custom panel added to the Ascent Capture Administration module that allows synchronizing projects with Ascent Capture batch classes. It is installed with the custom module Ascent Xtrata Pro Server.
  • Ascent Xtrata Pro Validation is a custom module that you can add to your batch classes for correcting invalid classification and extraction results.
  • Ascent Xtrata Pro Knowledge Base Administration is a standalone program that you can use to train an invoice project and to manage knowledge bases. It is installed with Ascent Xtrata Pro Project Builder.
  • Ascent Xtrata Pro Statistical Viewer is a standalone program that you can use to get information about processed batches that the Ascent Xtrata Pro Server gathers during processing.

10. If I need to register the custom Ascent Modules (or Release Script), what steps do I take?

The Ascent Xtrata Pro 3.0 installation program automatically registers the Ascent modules and the release script with Ascent Capture. If for any reason the components need to be registered after installation, you can manually register them in the Ascent Capture Administration module.

Note: An error message is displayed if the installation program fails to register the Ascent Xtrata Pro custom components. The unregistered components will not be available for use with Ascent Capture. For example, if the Ascent Xtrata Pro Server is not registered, it will not be available as a queue for a batch class.

To register custom modules

  • From the Administration module’s menu bar, select Tools | Custom Module Manager to display the Custom Module Manager dialog box.
  • Click Add to display the Open dialog box.
  • Choose the desired Ascent Xtrata Pro registration file (“Mailroom.aex”) from the file list and click Open to display the Custom Modules dialog box.
  • Select the Ascent Xtrata Pro component(s) from the list and click Install.

To register release script

  • From the Administration module’s menu bar, select Tools | Release Script Manager to display the Release Script Manager dialog box.
  • Click Add to display the Open dialog box.
  • Choose the desired Ascent Xtrata Pro registration file (“MailroomStatisticRelease.inf”) for the release script from the file list and click Open to display the Release Script Manager Dialog box.
  • Select the Ascent Xtrata Pro release script ‘Xtrata Pro Statistics’ from the list and click Install.

The Kofax Capture / Ascent Capture Technical Support group is comprised of three subgroups (discussed on the Support Options Web page), whose members are knowledgeable in all aspects of the Kofax Capture / Ascent Capture product and Kofax / Ascent modules, including installation, configuration, operation and development. Each group receives ongoing product training from our Engineering department relating to the general Kofax Capture / Ascent Capture product and their specific area of expertise. These groups have in depth knowledge of networking, databases, hardware, and programming which they use when assisting all supported Kofax Capture / Ascent Capture customers.

The Kofax Capture / Ascent Capture Advanced Forms product's Technical Support group can assist with problems related to INDICIUS, Ascent Advanced Forms, Ascent for Invoices, Ascent for Health Insurance, and Ascent Xtrata Pro.
