Needs Analysis
Experienced consultants from our Professional Services Group are available to perform an onsite investigation and review of your capture requirements. This is generally the first step in delivering a detailed Statement of Work to customers and establishes a common framework for development and installation of a system tailored to a user's specific needs.
During the onsite analysis, a Kofax consultant meets with appropriate operational and managerial staff to observe the current operations and discuss the customer's desired implementation using Kofax software. This is a thorough review in which Professional Services Group will:
- Reconfirm the general nature of the proposed imaging application and establish definite boundaries for this study.
- Interview key end-user personnel involved in the processing of documents relevant to this project.
- Identify, confirm and define the business objectives for this project.
- Identify the current business environment as it affects this project.
- Identify the current systems environment as it affects this project.
- Follow the “document trail” from creation through processing and archiving for documents relevant to this project.
- Review volumes, throughput constraints and document quality.
- Determine their forms processing requirements. Professional Services Group shall review documents and forms that are representative of those to be processing using the Ascent Capture system.
- Review and determine the best method of document separation and form identification for the Ascent Capture batch class configuration.
- Review and determine end-user’s processing requirements including the desired speed of operation and workflow.
- Review and determine the type and amount of index fields that need to be implemented to achieve end-user’s data capture goals.
- Review and determine the validation rules that need to be applied to each index field of the batch class configuration.
- Review and determine the requirements for releasing the data to a content management system or database.
On completion of the on-site needs analysis, Professional Services Group will write a detailed Statement of Work (SOW) that details our findings including all Ascent Capture batch class recommendations and a full implementation plan. The SOW shall recommend the following components:
- Method of document separation and form identification.
- Document types.
- Form types.
- Index fields.
- Validation rules for the necessary index fields.
- Number and types of Ascent Capture stations to adequately cover the current and future scan volumes.
- Procedure for releasing index data and images to the desired content management system and/or database.
This document will also identify all key contacts and provide a signature block for approval by the reseller and the end-user. Upon approval of the SOW, full implementation can begin.
Professional Services Group believes most projects require a 40 hour commitment to thoroughly understand the user's requirements and then to translate that into a quality document for discussion and approval. However there are instances when a longer period is needed. Generally these involve the use of a high quantity of different forms, complex validation rules, extensive changes to an existing release script or creating a new release script, or the development of a custom module.
